Your trust matters to us. This policy explains what personal information we collect, why we collect it, and how we look after it.
01Who we are
Baja Wellness Retreat ("we", "us" or "our") is based in Vancouver, British Columbia, and hosts wellness retreats in Mexico and Canada. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
Our curator, Sarah Fuson, is responsible for how we handle personal information and acts as our privacy contact.
02What we collect
We only collect information we need to plan and run your Retreat, keep you informed and improve what we offer.
Information you give us
- Contact details, such as your name, email address, phone number and mailing address.
- Booking details, such as the Retreat and room you choose, roommate preferences, and payment status.
- Travel details, such as your name as it appears on your passport, flight or ferry times and emergency contact.
- Health and dietary information you choose to share, such as allergies, injuries, pregnancy or medical conditions, so we can keep you safe and adapt the program.
- Registration form details, which you complete after paying your deposit, including your photo and video preference.
- Messages and feedback, including emails, direct messages, survey responses and testimonials.
- Corporate retreat details, such as your company name, role and group requirements.

Photos and video
We may take photos and video during Retreats. You choose whether you approve being featured on the registration form we send after your deposit, as described in our Terms and Conditions.
03How we use it
- To confirm and manage your booking and take payments.
- To arrange rooms, meals, transfers and activities with our venues and partners.
- To keep you safe, including responding to health needs and emergencies.
- To send you important information about your Retreat.
- To send newsletters and offers, if you have agreed to receive them.
- To respond to your questions and improve our Retreats.
- To share testimonials and Retreat photos, with your consent.
- To meet our legal, tax and accounting obligations.
We do not sell your personal information.
05Where it is stored
Some of our service providers store information outside Canada, including in the United States, and our Cabo Retreats take place in Mexico. Information held outside Canada is subject to the laws of that country and may be accessed by its authorities. We choose providers that protect personal information to a standard comparable to Canadian law.
06Consent and your choices
By booking a Retreat or contacting us, you consent to us using your information as described in this policy. You may withdraw consent at any time, although this may mean we cannot provide some services, such as a booking.
- You can unsubscribe from our newsletters at any time using the link in each email.
- You choose on your registration form whether we may feature you in photos and video, and you can change that choice at any time. You can also ask us not to use your testimonial.
- You can choose not to share health information, although we may then be less able to support you.
07This website
This website does not use advertising or tracking cookies. Our website host may record basic technical information, such as your IP address and browser type, to keep the site secure and working. If you follow a link to another site, such as our booking platform or social media, that site's own privacy policy applies.
08How long we keep it
We keep personal information only as long as we need it for the purposes above. Booking and financial records are kept for as long as required for tax and legal purposes. Health and dietary information is kept only as long as needed to support you during your Retreat and to deal with any related questions afterward.
09How we protect it
We use reasonable safeguards to protect your information, including password-protected accounts, limiting access to people who need it, and choosing reputable service providers. No method of storage or transmission is completely secure, but we take care to protect what you share with us.
10Your rights
You may ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we no longer need it. Email us and we will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Our Retreats are for adults 18 and over, and we do not knowingly collect information from children.
11Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
